How Architects Actually Evaluate Materials (And What Material Producers Get Wrong)
Specification is not a single decision — it's a process that runs across weeks or months. Understanding the stages helps material producers provide the right information at the right time.

The sample leaves your booth on a Friday afternoon. Three months later, an architecture firm specifies your material in a €200k project — and you have no idea there was ever a connection.
This is not unusual. Specification rarely moves in a straight line from "receives sample" to "places order." It moves in stages, on the project's schedule, involving multiple people, and often without any contact back to the producer.
The Four Stages of Material Selection
Stage 1: Initial Discovery
The architect encounters your material — at a trade show, through a sample pack, via a colleague recommendation. They scan the QR code (if there is one), skim the specs, and decide whether it's worth keeping.
At this stage they need: a clear sense of what the material is, what it's for, and why it might be relevant to their work. Not a sales pitch. Not a request for a call. Just enough information to know whether to investigate further.
Stage 2: Active Evaluation
If the material makes the shortlist for a live project, the architect goes deeper. They return to the passport, download the CAD files, check the fire rating, compare the price to a competitor. This stage may happen weeks or months after initial discovery — and often without any contact with the producer.
At this stage they need: full technical documentation, high-res textures, application examples, and certification data. Incomplete documentation here usually means the competitor with better paperwork wins.
Stage 3: Specification
The material gets added to the project's material schedule and tender package. This is the decision point most producers are trying to reach, but it's rarely announced. It just happens, quietly, after the evaluation phase closes.
What matters now: availability, lead times, minimum order quantities, and a contact for technical questions. An architect who cannot confirm lead time at specification stage will often substitute something they can confirm.
Stage 4: Procurement
Specification is not an order. Contractors may value-engineer the product out. The client may cut the budget. A competing bid may come in lower. Producers who stay visible — without being pushy — during this stage have a better chance of seeing the specification through to an actual purchase.
Where Sample Programmes Lose Context
Most of what goes wrong happens between Stage 1 and Stage 2, when the producer has no signal that evaluation has started.
No registration at first contact — the architect scans the QR code and sees the material, but there is no record of who they are. When they return six weeks later during active evaluation, there is still no visible account. The follow-up team has no reason to reach out.
Incomplete technical documentation — the first scan is fine, but the architect returns for detailed specs and finds a general brochure. They need the CAD file, the fire rating, the sustainability certificate. Missing any of these at Stage 2 is often fatal — they will specify the material they can fully document.
Fixed follow-up timing — most producers follow up on a schedule tied to when the sample was sent, not to what the account has done since. An architect in Stage 1 who gets a sales call about specification is going to push back or ignore it. An architect in Stage 2 who gets a relevant technical check-in is a different conversation.
The Engagement Signal
When a registered contact revisits a material passport, downloads a file, or returns to the same page across multiple sessions, something has changed. They may be evaluating for a specific project. They may be comparing options. They may be preparing a client presentation.
That is not the same as knowing exactly where they are in the process — but it is a reason to make contact with useful information, not a generic "following up on the sample" email.
"I saw you've been reviewing our acoustic tile specification. Are you working on a project where we can help with technical support?"
That message makes sense when the engagement pattern is visible. Without it, you are either silent or guessing.
What Tracking Changes
QR-based sample tracking gives visibility into Stage 2 activity that is otherwise entirely invisible. You can see which registered contacts returned to a material after the initial discovery scan, what they downloaded, and how many times they came back.
That visibility does not tell you which stage a firm is at or whether a project will convert. It tells you which accounts deserve attention right now, so your team can prioritise support rather than spraying follow-ups across a cold list.
