Material Passport Best Practices for Physical Samples
Learn what to include in a material passport, what to keep accessible before registration, and how to maintain useful sample information over time.

A material passport should help someone evaluate the physical sample in front of them. It is not a second corporate website, a file dump, or a QR code that opens an unexplained PDF.
The useful version answers three questions quickly:
- What exactly am I looking at?
- Can this material work for my project?
- What should I do if I need more detail?
These practices keep the passport useful for the architect or designer scanning it and manageable for the material team maintaining it.
1. Match the Passport to the Physical Sample
Start with the information needed to identify the object:
- Product and collection name
- Colour, finish, thickness, or other relevant variant
- A clear image that matches the sample
- Intended applications
- Manufacturer or material producer
Avoid making the scanner choose from a catalogue before they can see the sample they already hold. If one QR code represents a material family rather than an individual variant, say that clearly and show the available options nearby.
2. Put Decision-Critical Information First
The first screen should help someone decide whether to continue. Prioritise:
- A concise material description
- Typical applications and limitations
- Available sizes and finishes
- Key performance information
- Availability or lead-time guidance when it is reliable
Detailed reports and certificates can sit below this summary. The passport should provide a useful orientation before asking someone to open a large technical document.

3. Make Registration an Exchange, Not a Surprise
Registration can connect later engagement to a person or firm, but it also adds friction. Decide which information genuinely needs that context.
A practical split is:
- Keep identity, basic specifications, and intended applications accessible
- Ask for registration before high-value downloads or a managed contact request
- Explain what registration unlocks before showing the form
- Collect only the fields the follow-up team will actually use
“Register to continue” does not explain the benefit. “Register to download CAD files, certificates, and the complete specification pack” does.

4. Treat Files as Maintained Product Information
A passport loses trust quickly when its files disagree with the current product. For each document, show a useful name and, where relevant, its revision date or version.
Assign an owner for:
- Specification sheets
- Installation guidance
- Certificates and test reports
- CAD or BIM files
- Texture and reference images
Use a stable passport URL so the destination can be updated without replacing every physical QR label. Remove superseded files instead of leaving several similarly named versions for the scanner to interpret.
5. Design for a Phone at the Sample Shelf
A material passport needs to work on the phone used to scan it, including near a sample library, booth, or project table. It should therefore:
- Load quickly on a mobile connection
- Use readable type without zooming
- Provide touch targets that are easy to select
- Show the most useful information before long downloads
- Use descriptive file labels instead of internal filenames
- Keep important actions visible without covering the content
Test the page on a real phone and open every download. A passport that looks good in a desktop mockup can still fail at the moment someone scans the physical sample.
6. Give Every Passport a Clear Next Step
The right action depends on what the scanner may need next. Useful options include:
- Ask a technical question
- Request another sample or finish
- Download a specification pack
- Contact the material producer
- Share the passport with a project colleague
Use specific action labels. “Request technical guidance” is clearer than “Submit,” and “Download fire-test report” is clearer than “Learn more.”
7. Record Signals Without Overstating Intent
Scans, rescans, downloads, and contact requests describe observable activity. They do not prove that a material has been specified or that an order will follow.
Use those events to prioritise review:
- A single anonymous scan shows that the code worked
- Registration connects later activity to the submitted contact details
- Repeated activity gives the team a reason to review the account
- A direct request provides stronger context for a response
Record follow-ups and eventual outcomes separately. That is how a team moves from engagement data to evidence about what its sample programme contributes.
8. Review the Passport as Part of the Product
Set a recurring review based on how often your material information changes. The owner should check:
- Does the QR code still resolve correctly?
- Does the image match the physical sample?
- Are the specifications and certificates current?
- Do registration and contact forms work?
- Are downloads named clearly?
- Does the follow-up reach the right person?
Do the same review before a major sample run or trade show. Fixing one passport before printing labels is easier than correcting hundreds of distributed samples later.
The Short Version
A useful material passport is specific, current, mobile-friendly, and honest about what its engagement data means. It identifies the sample, surfaces decision-critical information, explains any registration exchange, and provides a clear next step.
