Why material samples sent to architects go silent — and what 10,000 scans tell us about the ones that don't
Silence does not reveal whether a sample is still being evaluated. Learn how rescan patterns can give follow-up teams a more useful signal.

You send samples. They go out. Then: nothing.
No call. No email. No way to know if the sample is sitting in a drawer, being actively consulted in an architecture library, or already in the bin.
The instinct is to assume silence means disinterest. Most of the time, you may be right. But some firms are quietly building a specification case for a live project. Without a visible signal, those opportunities are easy to miss.
We've processed over 10,000 sample scans across producers in the Netherlands. Here's what the data actually shows.
Silence and disinterest are not the same thing
When an architect receives your sample, they don't scan it once and decide. The specification process doesn't work that way. Samples go into a library — physical or digital — and get pulled back out when a relevant project comes up. That could be three days after you send it. Or fourteen weeks.
The scan patterns show that engagement can continue weeks after a sample is first touched. A fixed follow-up schedule can miss that later activity because every project moves at a different pace.
The silence isn't absence. It's process.
What active consideration looks like

The chart above shows one sample's scan timeline over nine weeks. This wasn't a mass event — it was a single architecture firm returning to the same material passport, repeatedly, over two months.
Eighteen scans in the first week. Then nine. Then six. The tail kept going: four, four, two, two, one, one.
That firm was OMA — Office for Metropolitan Architecture. They were building a specification case for a live project and kept coming back to the same material. Not once did they make contact. To any conventional follow-up system, this looked like total silence.

The pattern across 10,000 scans
Across the dataset, we see different versions of the same broad shape: an initial scan spike followed by a tail that decays at different rates for different firms.
Repeated returns are a stronger follow-up prompt than a single scan, but they do not prove a specification or reveal why someone stopped. The value is that the two engagement patterns no longer look identical from the outside.
A few things the data has made clear:
- Rescans may align with project milestones — for example, when a team narrows options, prepares a client presentation, or checks a specification.
- Meaningful engagement can happen weeks after initial contact, not only in the first follow-up window.
- Repeated scans from one registered firm show sustained activity. That is a reason to review the account, not proof of a purchase decision.
What to do with this
You can't act on signals you can't see. Most sample distribution runs on instinct: you send samples, wait, and follow up based on gut feel or whoever happened to email you back.
Some firms will contact you directly; others may continue reviewing the material internally. A scan trail makes the second pattern easier to notice without assuming what decision the firm will make.
Making that pattern visible narrows the list. Instead of calling everyone on a two-week cadence, you call the firm that has rescanned the same passport twelve times in the past month. That call has something to say. The rest can wait.
